Members, roles, permissions, and activity
Invite staff to your SpaceMedia organization, assign least-privilege roles, and audit permission changes.
Members is your staff. It requires the Team Members add-on; without it you cannot grant staff roles at all.
Inviting someone
- Decide what they need to do before you invite them.
- Invite them by email.
- Assign a role that covers that and nothing more.
- Confirm the invitation was accepted. An unaccepted invitation is not access.
A duplicate active invitation is blocked until the existing one is cancelled or accepted, so check before re-sending.
Choosing a role
Start from a preset and adjust, rather than starting from admin and removing. Build a custom role when no preset matches the job.
Ask, for each person: do they change brand settings, approve releases, see financial data, or answer customers? Grant those permissions and stop.
Permissions gate real areas. Someone without process releases cannot open the Release Queue; someone without view payouts cannot see payout records. When a member reports a missing page, check their role before reporting a fault.
Reviewing access
Review roles when someone changes job, when a project ends, and on a fixed schedule. Access granted for one task tends to stay forever otherwise.
Remove access the day someone leaves. Also check external connections they configured and support routes pointing at their address.
Auditing
Permission changes are recorded. Activity log shows who changed what and when, which is what you need when access appears without explanation.
